Who this covers
Cygnix Desk lets salons, clinics and other service businesses (“businesses”) answer their customers on WhatsApp, take bookings and send offers. This policy covers business owners and staff who use the dashboard, and the customers who message a business that uses Cygnix Desk.
What we collect
- Business accounts: name, email, password (stored as a one-way hash), business details, services, prices, opening hours and team names.
- WhatsApp connection: the business's WhatsApp Business Account id, phone number id and an access token issued by Meta, stored encrypted.
- Customer messages: the customer's WhatsApp number and profile name, the messages, photos, videos and files exchanged with the business, bookings, language choice and whether they agreed to receive offers.
How we use it
Only to run the service for the business the customer contacted: answering questions about that business, booking and reminding appointments, alerting the business's staff, and sending offers to customers who agreed to receive them. We do not sell personal data, use it for advertising, or share one business's customers with another business.
Where a business turns on automatic answers, a customer's question and that business's own information may be processed by an AI provider (Anthropic) to write a reply. Answers are limited to the business's services; anything medical or uncertain is passed to a person.
Who receives it
- The business the customer messaged, and its staff.
- Meta Platforms, which carries WhatsApp messages (see WhatsApp's own privacy policy).
- Hosting and email providers that run the service for us, under confidentiality obligations.
Offers and opting out
Customers receive offers only after agreeing to. Replying STOP (or إيقاف) at any time stops them immediately.
How long we keep it
While the business uses Cygnix Desk. When a business closes its account, its data is deleted within 30 days, except where the law requires us to keep records longer.
Your rights
You can ask to see, correct or delete your data. Customers can also ask the business directly. See Data deletion, or write to info@cygnixdesk.com.
